Running and Managing a Live Session

A live session uses a livestream video player which runs globally across all of the session’s talks, and the information and elements for the talks will be displayed at a specific time. When switching between two talks, a dialog will inform the user that a new talk is about to start.

If the user allows the dialog’s timer expire, the details of the next talk will be displayed. The livestream will continue running in the background. The information in the window can also be confirmed manually. In case the user is not ready to switch to the most current talk yet (e.g. using the questions/answers form or submitting a rating), it is possible to postpone switching to the next talk until the action is completed. Participants may also switch between talks at any time.

In general, talks switch to the "active/in session" status at the time they're supposed to take place according to the conference schedule. Moderators/session chairs or other users appointed by the organizer can override this automatic status change by manually using the "Set active" button for a talk.


NOTE: The "Set active" button is only visible to session chairs and organizers. When it is pressed, a security prompt appears first. When you confirm this prompt, the transition window will be displayed globally to all participants.

Once a talk has been manually set to the "active" status, the status can only be changed by manually activating another talk. The original schedule then no longer matters in terms of a talk’s status. You can return to the automatic mode and the regular conference schedule by clicking the "Set inactive" button.

While the automatic mode by schedule is the best choice for sessions that contain VOD content, the status of live content should always be controlled manually because possible technical delays often change the schedule.

NOTE: With manual session control, it’s important to note that switching to the next talk should not be based on what is currently happening on-site. You need to consider the live-streaming latency in the VV instead.

RECOMMENDATION: Digital event formats require a well planned and punctual schedule. If a new session doesn’t start on time, many participants will inquire about the start time.

At the end of a session, participants can manually switch to the next session. They will not be automatically redirected.

Moderators and session chairs need to keep in mind that Q&A and ratings will appear separately for each talk. If you’re collecting questions for a round of questions, all individual talks need to be checked for questions posted by participants.
