Charge a Processing Fee to Show on the Invoice

Unlike with bookings or invoices, you are not able to add automatic cancellation fees on the booking options level. Here we explain the differences between the individual editing and cancellation levels.

Adding an offer package with the processing fee

If you edit booking options and want to charge a processing fee, you have to add an offer package for this:
  • Go to Configuration > Attendee Registration > Offer wizard to add an offer package. You can find more info on this here.
  • If necessary, add a separate category for this, e.g. "Other".
  • Set prices for all registration periods and price groups.

  • The processing fee should not appear as a bookable offer in the frontend. To avoid this, go to Extended configuration > Extended package configuration to hide the offer package in the frontend. Select the offer category on the left and select the package via the pencil icon:

  • about halfway down, tick the Show in backend only checkbox and scroll down for saving:

Adding the processing fee to the booking

Make the desired changes to the booking. You can now add the processing fee upon clicking Add booking option.

  • Update the invoice when you're done editing. Only then the editing process will be finalized and a new invoice document created.
  • Use the comment feature to document the edits for other backend users.
  • No emails will be automatically sent when you edit something in the backend. If necessary, you can inform the participant by sending a booking info mail (will be sent to the registered person, tab can be found in the booking details) or an invoice info mail (will be sent to the registered person, tab can be found in the invoice details).

Additional payment necessary?
